1. Who We Are
PoolTrips is a global directory of pool, billiard and snooker venues. This policy explains how we collect, use and protect your personal data in accordance with the EU General Data Protection Regulation (GDPR).
2. Data We Collect
- Account data: email address, display name, password (encrypted)
- Venue submissions: place name, address, photos, opening hours and other listing details you submit
- Reviews: star ratings and review text you write
- Claim verification documents: utility bills and government-issued ID uploaded to verify venue ownership (deleted after verification — see section 6)
- Cookie data: see section 8
3. How We Use Your Data
- To operate your account and provide PoolTrips services
- To verify venue ownership claims
- To display your reviews and submissions on the platform
- To send transactional emails (account verification, review notifications, claim status updates, monthly subscription receipts)
- To improve the platform
4. Legal Basis for Processing (GDPR)
- Contract: processing necessary to provide the services you've signed up for
- Legitimate interest: improving the platform, preventing fraud
- Consent: cookie-based tracking (see section 8)
5. Data Sharing
We do not sell your personal data. We share data only with:
- Supabase (database and file storage) — EU-compliant
- Vercel (hosting) — EU-compliant
- Resend (transactional email)
- Paddle (payment processing) — acts as Merchant of Record, has its own privacy policy
- Maptiler (geocoding) — address lookups only, no personal data shared
6. Claim Verification Documents
Government ID and utility bills uploaded during the venue claiming process are stored in a private, access-restricted system. They are permanently deleted from our systems once the verification process is complete, regardless of the outcome.
7. Data Retention
- Account data: retained until you delete your account
- Reviews: retained indefinitely (anonymised to "Deleted user" if you delete your account)
- Claim documents: deleted after verification is complete
- Submission data: bulk fields deleted after approval or rejection; minimal record retained indefinitely
8. Cookies
PoolTrips uses cookies to operate the platform and improve your experience. We use CookieYes to manage your cookie preferences. You can update your preferences at any time via the cookie settings panel.
- Essential cookies: required for authentication and core functionality. These cannot be disabled.
- Analytics cookies: used to understand how visitors use PoolTrips, in order to improve the platform. These are only set with your consent.
- Advertising cookies: used to show relevant ads on PoolTrips. These are only set with your consent.
9. Your Rights (GDPR)
